1. Rationale

Records Management is an administrative technique which provides control in the use of records or documents of the organization in order to promote efficiency and effectiveness in handling various papers in an acceptable and convenient manner.

Zambia has for some time now been experiencing a critical shortage of qualified records managers due to non availability of training at Diploma level. Most of the trained personnel have acquired a certificate in Records Management hence the labour market being saturated by registry clerks. The dynamism of the labour market demands the need of highly qualified Record managers hence the need to develop the Diploma in Records Management. The need to have the already existing registry clerks be capacity built for them to meet current technological changes in this sector also demands that a programme tailored to address such challenges be developed. It is against this background that the Diploma in Records Management, tailored to meet this increased demand, has been developed.

The programme will therefore, provide the nation with qualified Records Managers who will manage the various types of records in both public and private sector institutions while uphold professional standards and ethical practice in the management of records.

2. Programme Purpose

The purpose of the programme is to equip the trainee with knowledge, skills and the required attitudes in Records Management to enable them perform competently in both the formal and informal sector of the economy. They will be able to manage, control and maintain records. various types of records to acceptable standards in both public and private sector institutions while upholding professional standards and ethical practice in the management of records.

3. Programme Objectives

On completion of this programme the trainee will be able to:

1. Handle procedures and processes of records management and archival administration.

2. Create records and archives management systems

3. Translate the significance of records and records management in an organization

4. Apply principles of records management and archival administration.

5. Apply entrepreneurship skills in records management.

6. Apply managerial skills in records management.

7. Apply Information and Communications Technologies (ICTs) in records management and archival administration.

8. Apply legal issues in records management and archival administration.

4. Duration

3 years inclusive of three months industrial attachment.

6. Teaching Strategies

Learning shall constitute theory lessons, demonstrations, projects and practical training.

7. Minimum Entry Requirement

Direct Entry
Grade Twelve School Certificate with at least credits or better in five subjects, which must include English Language.

Mature Age Entry
Minimum Grade Twelve Certificates with at least two credits or better in English language plus two years proven work experience in related field.

Exemptions
Exemptions shall be awarded to candidates with prior qualifications as per TEVETA guidelines on exemptions and bridging courses.

The candidate must have an attendance of minimum 85% to be eligible for the final examinations.

10. Progression Requirements

Failures
Failure in more than three (3) modules shall be considered an outright fail.

Referrals
A fail in three (3) modules or less shall lead to the trainee being deemed a referred candidate and shall have an opportunity to clear the failed modules.

11. Certification

A Diploma in Records Management shall be awarded to successful candidates by Technical Education, Vocational and Entrepreneurship Training Authority (TEVETA).
